Responsible AI and Technology Statement
Last updated: October 6, 2026.
AV Tech Solutions helps small businesses use AI, automation, and everyday technology to save staff time and serve customers better. We also believe that any system we build should be safe, understandable, and accountable to the people who run the business. This statement explains how we put that into practice.
1. How we approach every AI project
Every AI project we take on follows our SAFE AI method:
- Survey your workflows. We follow real calls, leads, and bookings through your business to see where time and customers are lost.
- Assess readiness and risk. Before anything is built, we check what data a tool would touch, who can change it, what the vendor keeps, and what could go wrong.
- Fit the right tools. We build small, focused systems with clear limits on what they can do.
- Evaluate and adjust. We review results and conversations with you regularly, fix what is not working, and turn off what is not helping.
If AI is not a good fit for a task, or not safe for the information involved, we will tell you, even if that means recommending less automation.
2. What every AI system we build includes
- Approved answers only. Assistants respond using information you have approved, not whatever they can find.
- A human handoff. Complaints, unusual requests, and sensitive topics go to a person on your team.
- Data limits. Each system can see only the information it needs to do its job.
- Regular reviews. We check results and sample conversations with you and adjust the rules as your business changes.
3. People stay in charge
Automation should handle routine work, not make important decisions. We do not set up AI to make final decisions about:
- Money, such as refunds, credit, or pricing exceptions
- Hiring, firing, or other employment matters
- Legal, medical, or compliance questions
- Security changes, such as granting or removing access
- Commitments to customers beyond what you have approved
In these areas, AI can help gather information, but a person makes the call.
4. Protecting your information
- We collect and use only the data a system needs, and we limit who can access it.
- We review each AI vendor’s terms, data retention, and security settings before recommending it.
- Where a vendor allows it, we choose settings that keep your data from being used to train their models.
- You decide what information goes into any AI tool. We help you set clear rules for staff about what to keep out, such as passwords, payment details, and health information.
- When a project for a medical or wellness practice involves patient information, we work only under a written agreement with the practice that covers how that information is protected. Compliance decisions remain with the practice and its advisors.
5. Security from the start
Every system we set up follows the same basics:
- Multi-factor sign-in on business accounts
- Access based on each person’s role, removed when they leave
- Software and devices kept up to date
- Settings and access written down, so you are never locked in
- Short, practical training so your team knows how to use new tools safely
6. Being honest about limits
AI tools can make mistakes, and no technology is completely secure. We test systems before they go live and review them afterward, but AI output should still be checked by a person before it is relied on for anything important. We will always explain plainly what a system does, what data it uses, and what its limits are.
7. Keeping this statement current
AI tools, laws, and best practices change quickly. We review this statement regularly and update it when our practices change. The date at the top shows when it was last updated.
